This notice explains how Royal Cosmetic Clinic collects, uses, and protects information submitted through this website. It applies to visitors who browse the site and to individuals who submit an enquiry using the contact form.

What the enquiry form collects

When you submit an enquiry through this website, we collect only the information needed to respond to you. This includes your full name, email address, preferred contact method (email or phone), the type of enquiry you are making, and the message you choose to send.

Providing your phone number is optional. You are not required to submit it to complete an enquiry.

A consent acknowledgement is recorded when you submit the form, confirming you have read this privacy notice.

What we do not collect

The enquiry form is not a clinical intake form. We deliberately do not ask for, and ask you not to include, any of the following in your message:

— Medical history or current health conditions — Medications or supplements you are taking — Allergies or skin sensitivities — Clinical notes or treatment records from other providers — Photos of any part of your body — Date of birth or NHS number — Home address or other location data beyond your general area

Any clinical information required for your care will be collected securely during a booked consultation — never through this website form.

How your information is used

The information you submit is used solely to read and respond to your enquiry. The clinic team reviews each enquiry personally and responds within one business day.

Your details are not used for automated marketing, shared with third parties for commercial purposes, or added to any marketing lists without your separate consent.

Email delivery (Resend)

When our email delivery service is configured, enquiry submissions are forwarded to the clinic's internal inbox using Resend, a third-party transactional email platform. Resend processes the data solely to deliver the email and retains it in accordance with their own privacy policy, available at resend.com.

At this time, enquiry data is not stored in a database — it is delivered by email only and then handled by the clinic team from their inbox.

Calendly scheduling

If you use the online scheduling feature on the Book Now page, you are interacting with Calendly, an independent scheduling platform. Any information you provide directly to Calendly (such as your name, email, or appointment details) is governed by Calendly's own privacy policy, available at calendly.com/privacy.

Royal Cosmetic Clinic does not receive your Calendly data through this website at this time.

Cookies and analytics

This website uses only essential functional cookies required for it to operate correctly. No tracking or analytics cookies are currently deployed.

If analytics or marketing tools are added before production launch, this notice will be updated and a cookie consent mechanism will be implemented. See our Cookie Policy for details.

Data retention

Enquiries delivered to the clinic inbox are retained for as long as is necessary to respond and manage any ongoing clinical relationship. Enquiries that do not progress to a consultation are deleted from the inbox within a reasonable period.

Because enquiry data is not currently stored in a database, there is no automated retention or deletion schedule at this stage. This will be addressed in a forthcoming data governance review before production launch.

Your rights

Under UK GDPR and the Data Protection Act 2018, you have the right to access, correct, or request deletion of personal data held about you. You also have the right to object to processing and to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk.

Changes to this notice

This privacy notice may be updated before the website goes into production, and periodically thereafter as the clinic's services and data practices evolve. The date at the top of this page reflects the most recent revision.
